Procedures for Virginia Synod Youth Events at Eagle Eyrie Conference Center in case there is threatening weather:


  1. A youth event will be cancelled only if Eagle Eyrie closes their facility In case of an Eagle Eyrie cancellation, we will be able to refund most of each participant’s registration fee.


  1. If Eagle Eyrie is open and the event leadership and most participants are able to travel successfully to Eagle Eyrie, the event will proceed as planned. Because Eagle Eyrie incurs non-refundable expenses based on the numbers we provide, if an entire congregational group cancels any time after Monday before the event, only a portion of the registration fees can be refunded.   Refunds for individual cancellations during that time will be made on a case-by-case basis.


  1. Decisions about whether to attend the event based on weather will be left to individual congregational groups and advisors and will not be made by the event leadership or Eagle Eyrie staff. In the event that a group departs early from the event, no refunds will be possible.
